1. Overview
This Privacy Policy describes how OpsKey CRM, introduced and operated through KEYHUB PRO (PVT) LTD, handles information submitted through the public website and information stored inside subscribed CRM workspaces. A subscribing organisation is responsible for determining what customer and business information its authorised users enter into its workspace.
2. Information that may be collected
Information may include organisation details, contact-person information, account credentials, workspace-plan selection, customer records, commercial documents, order information, payment records, licence information, support-ticket messages, permitted file attachments, audit-log entries and information submitted for support or onboarding.
The public trial-registration form may collect company name, owner or contact-person name, official email, phone or WhatsApp number, country, website, industry, selected plan and billing-cycle preference.
3. How information is used
Information is used to create and administer workspaces, provide CRM functionality, maintain customer and commercial records, support document workflows, manage subscriptions, review submitted payment proof, respond to support requests, maintain operational security and communicate about the requested service.
4. Authorised workspace users
Workspace owners and authorised staff users can access information according to their assigned role. Subscribing organisations are responsible for managing their users, passwords, permissions and the information entered into their workspace.
5. Storage, hosting and files
Application records are stored using the configured hosting and database environment. Uploaded private files are stored in a private application-storage directory configured outside the public website-assets directory. Hosting configuration, backup scheduling and retention procedures are maintained at operational level.
6. Service providers and disclosure
Information may be processed through service providers needed to operate the platform, such as hosting, email-delivery or infrastructure providers. Information may also be disclosed where required by law, to protect the service, or with the relevant organisation's instruction or permission. Customer data is not presented as being sold to advertisers.
7. Retention
Information may be retained for as long as reasonably needed to provide the service, maintain operational records, meet legal or contractual obligations, resolve disputes and protect the platform. Specific deletion requests may require identity and authority verification.
8. Security
OpsKey CRM includes application-level controls described on the Data Security page. No internet-based system can guarantee absolute security. Subscribing organisations should avoid entering information that is unnecessary for their workflow and should request a separate review before storing regulated or high-risk data.
